Program Support Assistant

Major Duties:
Collecting, compilation, and tracking of data and statistical information for the program. Establishes, organizes and maintains computerized data sets, and retrieves computerized data. Provides support for budget management activities as requested. Performs work involving preparation and support, to include but not limited to preparation of Microsoft PowerPoint presentation and minutes for the Medical Center Environmental and Hospital Infection Control Committee Using Microsoft Excel to organize data for the program and develop graphic materials from line listings, use of Microsoft Word and Adobe Acrobat to prepare documents for the IPC. Receive calls from officials within the Medical Center, VACO, and oversight agencies, and personally handles those matters pertaining to the administrative functioning of the office, using broad knowledge of the program's operations, answers inquiries, and makes commitments to secure information to satisfy the callers. Compile information from many sources for preparation of various reports, documents, or programs. Develops and maintains comprehensive reference files and data on a wide variety of VHA activities. Reviews incoming correspondence and screens items, and forward to the IPC Program staff or the Medical Center Epidemiologist or Interns which need their personal attention. Logistically manages correspondence that requires a response to ensure timeliness and assures that correspondence is appropriately coordinated with the Medical Service Office and/or Medical Service sections. Make travel arrangements for the IPC Program personnel, as well as potentially supporting travel arrangements for others within the Infectious Diseases Section. Coordinate meetings and conference calls and other mechanisms of communications between IPC program personnel, ID program personnel, and other services and entities. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements. You will be rated on the following Knowledge, Skills and Abilities (KSA's):
Knowledge of policies, procedures, rules and regulations of the work unit or organization. Ability to communicate ideas or facts to individuals or groups effectively, Ability to uses computers and computer applications to analyze and communicate information in the appropriate format. Ability to gather, organize and maintain information, review for accuracy, and communicate it by a variety of methods. Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note:
A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. Physical Requirements:
Physical demands of this position require the incumbent to be able to operate a computer, typewriter, dictating machine, transcriber, audio recording and audio-visual equipment, telephone, fax machine, document scanner, and copier and to be able to move about freely in the medical center. There may be occasions where this will be an emotionally charged environment dealing with many issues at one time, and frequently changing priorities. These changing priorities may cause extensive pressure to be placed on the incumbent. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
