Program Support Assistant

Major Duties:
Coordinates the training program for medical staff - Students, residents and follows. Processes applications and forms for residents/fellows in the Internal Medicine/subspecialties to include:
completing security clearance paperwork and screening information; obtaining signatures on all forms; preparing identification files for each individual; assigning keys, parking information, DEA registration. etc. Verifying identification of trainees and submitting paperwork to the Web RAO site for approval. Maintain rotation schedules, rosters, call schedules for resident/staff. The incumbent will review all schedules to determine i r staffs assigned are appointed/credentialed/privileged through the VA. If not, will notify AO and assist with paperwork. Additionally, s/he will prepare resident training program reports to be utilized for resource and/or budget planning. Keeps records up to date with compliance information for all residents' appointments. Responsible for maintaining and reviewing for accuracy the monthly timesheets for the residents. Orientates new trainees and provides them with documentation of material to be discussed. Will involve reserving the conference rooms and preparing forms and agendas, scheduling speakers/presenters and any needed equipment. Maintaining current training manual for each orientation group and updating all members regarding policy and process changes as they occur; orders computer menu(s) and setting up training according to the needs of the trainee as well as the program that the trainee is enrolled. Composing correspondence in final form for signature by the Administrative Officer/s, Service Chief, or Section Chiefs as necessary. Assists the staff in interpreting policies, requests for information or reports. Communicates with staff and trainees to remind them of lectures, information, messages. etc. as well as contacting patients to schedule appointments Serve as an alternate timekeeper. Serves as primary service level ADPAC which includes providing staff/trainees with system access, menus and keys, and PIV sponsorship. Work Schedule:

Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note:

Specialized
Experience:
You must have one year of specialized experience equivalent to at least the next lower grade GS-6 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:
Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level. Applicants who have the 1 year of appropriate specialized experience, as indicated in the table, are not required by this standard to have general experience, education above the high school level, or any additional specialized experience to meet the minimum qualification requirements. You will be rated on the following Knowledge, Skills and Abilities (KSA's):
Knowledge of policies, procedures, rules and regulations of the work unit or organization. Ability to communicate ideas or facts to individuals or groups effectively, Ability to uses computers and computer applications to analyze and communicate information in the appropriate format. Ability to gather, organize and maintain information, review for accuracy, and communicate it by a variety of methods. Preferred
Experience:
Knowledge of Residency Program Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience. Note:
A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment. The work is primarily sedentary. Physical demands do not exceed those of a typical office setting. There may be some walking, standing, bending or carrying of light items. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
